How Chowdhury & Associates collects, uses, stores and protects your personal information and documents, in plain language. We never sell your information.

Chowdhury & Associates LLC ("we", "us", "our") helps individuals and families across Michigan, and in Bangladesh through our Sylhet office, with immigration paperwork, tax filing, homecare, business registration and community benefit applications. To do that work, people trust us with some of the most private information they have.

This policy explains what we collect, why we hold it, who ever sees it, and how you can ask us about it. It covers both this website and the work we do for you at our office. If any part of it is unclear, call us or come in and we will explain it in Bangla or Sylheti.

## The short version

- We only ask for what we need to do the job you asked us to do
- We never sell your information, and we never rent or trade it
- We do not share your file with anyone outside our own team unless you tell us to, or the law forces us to
- We never give your information to immigration enforcement by choice. Only a court order could force us, and we explain that below
- You can ask us at any time what we hold about you, or ask us to correct it
- This website has no advertising trackers and no analytics cookies

## Information you give us on this website

The only place this website asks for information is the contact form.

- Your name and phone number, which are required so that we can reply to you
- Your email address, which is optional. Many people prefer a phone call, and we did not want to turn anyone away over an email address
- The service you are asking about, and whatever you write in the message box
- A short record of the internet address (IP address) your message came from. We use it only to stop automated spam, and it is deleted automatically within a few minutes

## What happens to a message you send us

Your message is sent straight to our office email by a mail service called Brevo. It is not stored in a database on this website, and this website has no login area, no user accounts and no customer portal.

We use what you send only to answer you and to help you with the service you asked about. We do not add you to a marketing list, and we do not send newsletters or promotional messages.

## Information you give us at our office

This is the part that matters most. When you ask us to prepare an application, we need the documents that application requires. Depending on the service, that can include:

- Identity documents: passport, driver’s license, state ID, birth certificate
- Immigration documents: green card, work permit, I-94, visas, USCIS notices, your A-number
- Social Security numbers or ITINs for you, your spouse and your dependents
- Income and tax records: W-2s, 1099s, pay stubs, past returns, bank details for a refund
- Household details for a benefit application: who lives with you, rent, bills, and proof of income
- Health or care information, where a homecare or Medicaid application asks for it
- Family documents: marriage certificate, nikah-nama, custody or divorce papers

## Why we hold it

We hold your information for one reason: to do the work you hired us to do, and to keep the record of that work.

- To prepare, check and complete the forms you asked us to prepare
- To speak to you about your case, and to remind you about deadlines and appointments
- To keep a copy of what was filed, so we can help you if a letter or a question arrives later
- To meet the record-keeping rules that apply to a tax preparer and to a notary
- To take payment for our services

## Who we share it with

Your file stays inside Chowdhury & Associates. Our Detroit and Sylhet offices are one team, so if your work involves both countries, our own staff in both offices may handle it. Beyond our own team, there are only four situations where information leaves us, and you should know all four.

- The agency you are applying to. When you ask us to prepare an application, the information in it goes to that agency, for example USCIS, the IRS, the State of Michigan, the Social Security Administration or an embassy. That is the whole point of the application, and nothing is sent until you have seen it
- A partner we deliver a service with, and only what that service needs. For example, homecare is delivered with our partner agency Safwat Homecare LLC
- Service providers who help us run the business, such as our email provider, our website host, and our tax preparation software. They handle information for us, under their own privacy policies, and we choose them carefully
- Where the law forces it. If a court order or a subpoena (a formal legal demand) requires us to hand something over, we have to follow the law. Unless we are legally forbidden from telling you, we will tell you that it happened

## What we do not do

- We do not sell your personal information to anybody, for any price
- We do not share it with advertisers, data brokers or list companies
- We do not volunteer information about you or your family to immigration enforcement
- We do not discuss your case with your relatives, your employer or your neighbors without your permission, even if they ask on your behalf
- We do not use the documents you give us for anything other than the service you asked for

## Your tax information gets extra protection

Federal law strictly limits what a tax preparer can do with your tax information. We can use it to prepare and file your return. For anything else, we would need your written permission first, and you would be free to say no.

In plain words: your tax file is used to do your taxes, and nothing else.

## How long we keep it

We keep client files for as long as we may need them to support the work we did, including the periods that tax and notary record-keeping rules require. After that, paper files are shredded and electronic files are deleted.

You can ask us to return your original documents at any time. We keep copies, not originals, wherever the application allows it, and we hand originals back to you as soon as we are finished with them.

## How we protect it

- Paper files are kept in the office, out of public view, and are not left on desks
- Computers and accounts are password protected, and client files are opened only by our own staff
- This website is served over an encrypted connection (HTTPS) on every page
- The contact form is protected against automated spam and abuse
- No system is perfect, and we will not pretend otherwise. If something ever went wrong with your information, we would tell you

## Messages, WhatsApp and email

Ordinary email, SMS and WhatsApp are convenient, and we are happy to use them. But they are not fully secure, and messages can sit on your phone where other people may see them.

Please do not send Social Security numbers, A-numbers or photographs of documents by message unless we have asked you to. The safest way to hand over a document is to bring it to the office. If you do send something, that is your choice and we will handle it carefully.

## Cookies and tracking on this website

We do not set advertising cookies, and we do not run analytics or tracking software that follows you around the internet. Nothing on this site is used to build a profile of you.

Two things do come from outside our site. The map on our contact page is loaded from Google, so when that page loads, Google can see the visit and may set its own cookies under its own privacy policy. The WhatsApp button opens WhatsApp, which works the same way. Links to government websites such as USCIS, the IRS and Michigan.gov also work the same way: once you click, you are on their site, not ours.

## Children

This website is not aimed at children and we do not knowingly collect information from a child through it. We do of course handle information about children as part of family applications, such as a green card petition, a WIC application or a passport for a child. That information comes from the parent or guardian who is our client.

## Your choices

You are in control of your own information. At any time you can:

- Ask us what we hold about you, and ask to see it
- Ask us to correct anything that is wrong
- Ask for your original documents back
- Ask us to delete what we no longer need to keep
- Tell us to stop contacting you, or to contact you only by phone
- Withdraw your permission for something you agreed to earlier

## Changes to this policy

We may update this policy at any time, and we keep the right to do so. If we change how we handle information, we will update this page and change the "last updated" date at the top.

We will not always manage that immediately. A change in the office can happen before the website catches up, so this page may sometimes be a little behind what we actually do. We would rather tell you that than claim a precision we cannot promise. If you want to know exactly how something is handled today, ask us and we will tell you.

A delay in updating this page never takes away a protection you already have. What we say in "The short version" and "What we do not do" holds whether or not this page is currently up to date, and if we ever made a change that genuinely reduced your privacy, we would tell our clients directly instead of quietly editing a webpage.

## Ask us anything

If you have a question about your information, or you want us to do something with it, do not write a formal letter. Call the office, message us on WhatsApp, or walk in. Our phone numbers, addresses and email addresses are on the contact page, and we will answer in Bangla, Sylheti or English.
